TO STAY AT THE HOTEL

We would like to inform you about the general rules of VISITA’s, the hotel branch association, that apply when you book and/or stay in a hotel. The information below gives you answers to the most important questions.

GENERAL

You and the hotel can agree on the terms of the stay.
Unless a special agreement has been reached, the rules discussed here apply - as do those that are internationally accepted. Some hotels apply different conditions than the general ones for arrival and departure as well as payment and cancellation. The hotel's own conditions apply provided that you have been informed of this in connection with the booking. Therefore, be sure to take note of the information you receive from the hotel. Special rules apply to conferences and other events.

BOOKING AND CONFIRMATION

A booking is binding once it has been confirmed. This can be done orally or in writing, e.g. via e-mail. You and the hotel have thus reached an agreement. However, there is some possibility of cancellation - see section "Cancellation and no-show". When booking, you are obliged to state your name, address, time of arrival and departure and how payment is to be made.

ARRIVAL AND DEPARTURE

The hotel room is normally at your disposal no later than 3 PM the day of arrival. On the day of departure, you must leave the room no later than 12 Noon

NOTE! Some hotels apply different times for arrival and departure. In that case, these times apply provided that you have been informed of this in connection with the booking.
 

LATE ARRIVAL

The room is reserved for arrival no later than 6 PM. If you expect to arrive later, you must notify the hotel in advance so as not to risk the room being rented out to another guest.

CANCELLATION AND NO-SHOWS

It is industry practice that hotels accept cancellation of a hotel room.
The following rules apply:
  • Cancellation must be made no later than 6 PM the day before arrival. If you are absent without cancellation or cancel later than 6 PM you have to pay for a day.
  • If the hotel has had special costs due to your booking, you will be liable for these.
NOTE! Some hotels have stricter cancellation policies. In that case, these apply provided that you have been informed about them at time of booking.

DEPARTURE BEFORE THE END OF THE AGREED TIME

If you have booked for a specific period of time but leave before the end of this period, you must pay the same compensation as for late cancellation. This means that in addition to the price for the time you have stayed at the hotel, you will pay for one extra day.

STAY FOR AN UNDETERMINED TIME

If you stay at the hotel for an undetermined period and extend your stay by one day at a time, you should notify your departure no later than 6 PM the day before you travel. Otherwise you have to pay for an extra day.

​​​​​​​If the hotel can no longer let you dispose of the room, you have to be notified of this no later than 6 PM the day before departure.

OBLIGATIONS OF THE HOTEL

If the hotel cannot provide you with the room that was agreed upon at time of booking, you have the right to get an equivalent or better room at the hotel or in a hotel of an equivalent standard at no extra cost.

PERSONAL REQUESTS

ADAPTATIONS FOR GUESTS WITH DISABILITIES

Nowadays most hotels have adapted parts of the premises for guests with disabilities. Specify the requirements when you book, and you are sure that the hotel is properly equipped and can prepare your arrival in the best way.

SMOKE FREE

Most hotels now have mostly non-smoking rooms. If you want to smoke in the hotel room, you should therefore ask at the time of booking if this can be arranged. In the event of a violation of the smoking ban, the hotel has the right to charge the customer the cost of repainting, cleaning, washing of textiles, etc.

PETS

If you want to bring a pet, let us know when you book the room. There are options.

TECHNICAL EQUIPMENT

If you need any special technical equipment, you should notify this well in advance of arrival. This way your wishes can be met as best as possible.

BOOKING FEE AND ADVANCE PAYMENT

The hotel reserves the right to request a booking fee or other advance payment in order for your booking to be binding. This amount is deducted from the final bill. If you cancel the room without taking into account the cancellation deadline, the hotel is entitled to keep the booking fee / advance payment.

PAYMENT

The main rule is that the hotel bill must be paid when you receive it, nowadays usually on arrival at the hotel.

CREDIT CARDS, CHECKS AND COUPONS

Most hotels accept the most common credit cards. However, the hotel is not obliged to accept credit cards, checks, coupons or foreign currency if the hotel has not offered to do so. It is therefore wise to find out in advance what applies.

INTEREST ON LATE PAYMENT

If you are late with payment, the hotel is entitled to penalty interest.

REGISTRATION OF FOREIGN HOTEL GUESTS

According to the Aliens Ordinance act, those who run hotels must ensure that foreign hotel guests provide certain information prescribed by the National Police Board on a self-signed registration form. The foreign hotel guest must prove their identity with a valid identification document. These rules are based on the Schengen Agreement within the EU.

STORAGE OF VALUES AND LUGGAGE


STORAGE

Talk to the reception about requests for storage of valuables and luggage. Upon arrival and departure, do not leave luggage unattended in the lobby. The hotel usually has the option of storing your luggage in a luggage room. The hotel is only responsible for your property if it is stored in a space locked by the hotel, such as a luggage compartment.

VALUABLE PROPERTY

If your property is of unusually high value, you are obliged to inform the hotel of this when you hand in your luggage or other property to the hotel for storage. The hotel has no obligation to store property of high value and is liable for the full value of the property only if the hotel has agreed to be responsible for it.

RIGHT TO KEEP LUGGAGE

By law, the hotel has the right, as security for a claim against a guest, to retain luggage and in some cases, according to established rules, also to sell it.

RESPONSIBILITY FOR PROPERTY / THEFT IN HOTEL ROOMS

The hotel has no strict responsibility for the property you keep in the hotel room. However, should it turn out that the hotel or hotel staff has acted negligently or is otherwise at fault for the loss of property, the hotel is responsible for the lost / stolen property.

YOUR OWN SAFETY

You should always find out where emergency exits, alarm buttons and fire extinguishers are located. This information is generally found on the inside of your hotel room door, in a special information folder in the hotel room or at the reception.
If you discover defects in safety measures, please report this to the reception immediately.
